Depositing your Research

Requesting an embargo or alternative licence for your deposited paper

When you deposit your scholarly article in Pure it will be made openly available (under a CC BY open licence) when the final version is published by the journal.

In certain circumstances, you may wish for an embargo period to be applied to the paper before it is made openly available, or that an alternative, more restrictive open licence is applied. You can request these actions using the form below.

FAQs

  • What will happen after I submit a request via the form?

After you submit a request you will get a response from the Library to confirm that the information has been received and the embargo/alternative licence applied. Requests will normally be actioned within a few days of being received, except at exceptionally busy periods.

  • What is an embargo?

An embargo period means that your article will not be made publicly available via the repository until a certain point after it has been published by a journal. The metadata of the article (ie. the title, author, abstract and other information) will be publicly visible via the repository but any attached document version of the article will be "locked down" and not accessible to readers. After the embargo period has elapsed the document version is automatically made publicly available.

  • When do I need to request an embargo or alternative licence for my paper?

The University's open access policy means that by default publishers' suggested embargo periods are not applied to York-authored papers. Our research publishers have been made aware of the University's position and in the vast majority of cases will not take issue with an author complying with the institutional policy. In the rare instances where a publisher insists that an embargo or a more restrictive licence is applied to the deposited accepted manuscript, researchers can use this form to meet these demands.

  • If I request an embargo is applied to my paper, when should I deposit the paper to the repository?

If you request an embargo, you should still deposit the accepted manuscript of your paper into the repository as soon as possible after the paper has been accepted for publication.

  • Will my paper still meet REF open access eligibility requirements if I request an embargo or alternative licence?

If you request an embargo or an alternative licence is applied to your paper it may no longer meet the open access requirements of the REF or your research funder. You can check REF and funder requirements within this guide. If you have had a paper accepted by a journal and are worried that you are unable to meet REF or funder open access requirements get in touch with the library.

  • What if I want to request an embargo/alternative licence for more than one paper?

If you want to request an embargo or alternative licence for more than one paper, please fill out a separate request form in each instance.
